Which practice management systems does it work with?
Cliniko, Practice Hub, Nookal and Halaxy. Cliniko is the one running live in a
two-site practice today. Practice Hub is connected and verified against a real clinic's account. I've read their data and confirmed it carries everything the
dashboard needs. Nookal and Halaxy are built against their published documentation,
and I'd check them against your own account before you committed to anything.
One thing worth knowing up front if you're on Halaxy: they charge for API access
as an add-on on their side, around $33 a month. I'd rather you heard that from me
now than found it on an invoice.
The metrics don't depend on any one system: what changes between them is the
connector, not the definitions. If you're on something else, tell me on the call.
I'll read their API documentation and give you a straight yes or no rather than a maybe. There are three specific things a booking system has to expose, and it takes
me an afternoon to find out whether yours does.
Who built this, and is it a real product or a side project?
I did. I run two chiropractic clinics, and I built this because I needed it. It
has run them every day for over a year. That means it's opinionated about how a
practice works, and it means the person you'll be talking to has run the clinics
these numbers describe, week after week.
Do my practitioners have to see each other's numbers?
No. Admin accounts see the whole practice. A practitioner account sees only their own
page. Plenty of clinics run it fully open between associates. That's your call, not a
setting I impose.
We don't run care plans. Is this still for us?
Yes. Care plans are one way of measuring whether patients stay, not the only one.
A practice that doesn't sell them has retention measured on visit gaps instead: a
patient who hasn't been in for four weeks with nothing booked has stopped coming,
however you sell care. The care-plan screen comes off and the funnel stops at the
stages you do run.
The same goes for the rest of it. Your appointment type names, how many locations
you have, what you call a re-exam, how long a gap counts as a dropout: all of it
is set to your practice during setup, not assumed. If your practice does something
the dashboard can't express, tell me on the call and I'll say so plainly rather
than sell you a screen that will read wrong.
How is this different from the KPI spreadsheet my coach gives me?
Your coach's spreadsheet tells you the rate. This tells you the names. A 12% dropout
rate is a number to worry about; a list of nine patients who are on a care plan,
came in last fortnight, and have nothing booked is a job for reception this afternoon.
Can it track a number that isn't on the demo?
Often, yes. The demo shows the metrics most practices run on, but yours is set up
around the ones you use. Tell me what you track today, in your spreadsheet or with
your coach, and I'll tell you on the call whether your booking system holds what it
needs. If it does, it goes in during setup.
What does the setup fee actually cover?
The design session; connecting your booking system; mapping your practitioners,
locations and appointment types; configuring ROF and progress-exam stages to match
how you book them; setting weekly goals; validating the first month of numbers
against a period you already know; and training your team. It's my time, not a licence fee.
How long am I locked in?
You're not. The setup fee is one-off and the subscription is month-to-month with 30
days' notice. The annual option exists because some clinics prefer it for the discount,
not because I need you tied in.
Can I see it working before I pay anything?
Yes. On the 10-minute discovery call I'll show you the working dashboard and check it
suits your practice. Afterwards you get access to a demonstration dashboard to click
through in your own time, loaded with a fictional practice so nothing real is exposed.
No obligation and no slide deck.
